Managing Your Jenius Account Settings
Welcome to your Jenius Account Settings. This guide will walk you through how to personalize your profile, configure your coaching preferences, and manage your security settings.
Platform Navigation Basics
- The Primary Navigation: Use the collapsible ribbon on the left side of your screen to move between different Jenius modules.
- Accessing Account Controls: In the bottom-left corner of the screen, you will see your name and account controls. Clicking your name will open your personal account options, including Account Settings and Memories.
- For Organization Admins: If you have administrator privileges, you will also see Organization Settings located directly above your name in the bottom-left area

How to Get Started and Log In
All access to the platform is invitation-based. Follow these steps to set up your account and log in for the first time:
- Locate Your Invitation Email: Search your inbox for an email from
admin@noreply.janek.comwith the subject line: "Action Required: Set Up Your Jenius Account".- If you do not see it within a few minutes, please check your spam or junk folders.
- Initiate Setup: Click the "Create Your Account" link inside the email to open the platform's registration page.
- Create Your Password: Create a password that adheres to the password security policies, check the box to agree to the terms of service, and click "Sign Up".
- Password Security Policy: Your password must be a minimum of 8 characters and include:
- At least one uppercase letter
- At least one lowercase letter
- At least one number
- At least one symbol (such as !, @, #, or $)

- Log In to Your Workspace: For all subsequent visits, navigate to the platform login page, enter your registered work email address and password, and click Log In.
How to Set Up Two-Factor Authentication (2FA)
Immediately after setting up your password and clicking Sign Up for the first time, the platform will prompt you to configure Two-Factor Authentication (2FA) to secure your account.
Follow these steps to complete the setup:
- Install the App: Install or open the Microsoft Authenticator app on your mobile device.
- Scan the QR Code: When the platform displays the setup QR code on your screen, open the Microsoft Authenticator app and tap the blue scan icon in the bottom-right corner.
- Please note: You must scan the QR code directly from within the Microsoft Authenticator app, rather than using your mobile device's default camera app.
- Be Mindful of the Timer: The QR code is time-limited. Complete the scan in one motion before the on-screen countdown expires.
- Enter Your Security Code: Once successfully scanned, the Microsoft Authenticator app will create a new account entry that generates a unique six-digit code every minute. When the platform prompts you for this code, open the app, look at your entry, and type in the active six-digit number.
- Restarting If Needed: If you encounter any issues during the scanning process, simply refresh your web browser page. This will generate a fresh QR code so you can restart the process.
How to Enable Browser Permissions (User Level)
When you launch a roleplay or voice feature for the first time, your browser will display a pop-up prompt asking for permission to access your microphone and camera.
If you accidentally blocked this access or need to turn it on manually, follow the instructions for your browser:
For Google Chrome
- Click the lock icon (or settings sliders) located in the web address bar on the left side of
jenius.janek.com. - Locate Microphone and Camera in the dropdown menu.
- Toggle the switches to Allow (or select Allow from the dropdown menus).
- Refresh your browser page to apply the changes.
For Apple Safari
- Open the platform in your browser.
- Click Safari in the top menu bar and select Settings for This Website.
- In the pop-up window, locate Camera and Microphone.
- Change the access settings from Ask or Deny to Allow.
- Refresh your browser tab.
How to Enable Salesforce Permissions (Organization Admin Level)
If your organization accesses the platform embedded inside Salesforce, your Salesforce System Administrator must authorize media permissions at the organizational level:
- Log into your Salesforce instance and navigate to Setup.
- Search for and click on Trusted URLs.
- Select your platform's trusted URL entry to edit it.
- Scroll to the bottom of the page to find the Permissions Policy Directives section.
- Locate the checkboxes for camera and microphone and select them to allow access.
- Click Save to apply the changes.
- Please note: If your Salesforce instance already has the Permissions-Policy HTTP header enabled, checking these boxes is all that is required. If the header is not enabled, follow the on-screen link to enable it, refresh your browser page, and then check the permission boxes.
How to Reset a Forgotten Password
- If you forget your password, click the Forgot password link on the standard login page.
- Enter your work email address and follow the instructions sent to your email to reset your password.
- Remember, passwords can be changed at any time once you are logged in by navigating to your Account Settings.
How to Customize Your Profile and Coaching Experience
You can customize how the AI interacts with you by updating your personal details and professional background:
- Navigate to Account Settings from the main menu.
- Update the following fields to tailor your experience:
- Name: Change your display name.
- Password: Update your security credentials.
- Sales Role: Select your functional sales designation. This role directly influences how Jenius personalizes your coaching sessions, skill focus, and performance reporting.
- Summary: Provide a free-text description of your current work context, priorities, and selling approach. The AI utilizes this summary to customize its recommendations.
- Supporting Documents: Upload optional files (such as DISC or other personality assessments) to give the AI deeper insight into your learning and working preferences.
- Supported File Formats: PDF and DOCX.
- File Size Limit: Maximum size is 50 MB per upload.
How to Manage Your AI Memories
Jenius automatically creates and stores "Memories" from your conversational history to speed up and personalize future coaching interactions. You have full control over this data:
- Navigate to Account Settings.
- Locate the Memories section.
- Review the list of automatically generated memories.
- Click Delete next to any memory you wish to permanently remove.
How to Manage Organization Settings (Admins Only)
If you are an Organization Admin, you have access to broader administrative settings within your profile:
- Navigate to the organization settings area.
- You can update your organization's name, upload a logo, and add a company description.
- View your organization's current licensed user limits.
Frequently Asked Questions (FAQs)
Can I change my email address or System Role in Account Settings?
No. Your registered email address and System Role (which controls your platform permissions and access levels) cannot be changed from your personal settings. If you need to change your email or update your permissions, please contact your Organization Admin.
What is the difference between a Sales Role and a System Role?
- System Role: Defines your technical permissions, data visibility, and access levels within the platform (e.g., User, Manager, Org Admin). This is managed by administrators.
- Sales Role: Represents your day-to-day functional sales focus (e.g., Sales Engineer, Account Executive). You select this role yourself in Account Settings to dictate how the AI tailors its coaching, skill recommendations, and reports to your specific job function.
How do I get access to Jenius?
Jenius access is invitation-only. Organization Admins send invitations to Users and Managers within their company. Jenius Super Admins send invitations to Organization Admins.
How long does my login session last?
If your organization uses Single Sign-On (SSO), your login session remains active for up to 7 days, depending on your organization's Identity Provider configurations. If you use standard credentials, you will remain logged in until your browser session expires or you manually log out.
Why can't I change my email address in Account Settings?
Your registered work email address acts as your unique identifier within Jenius and is critical for maintaining consistency with external integrations (such as CRM systems). If your email was entered incorrectly, your Organization Admin must remove your profile and re-invite you using the correct work email address.
What should I do if my exact job title is not listed under Sales Roles?
Your Sales Role is a functional designation rather than an exact HR job title. It tells the AI which competencies and sales methodologies are most relevant to your daily work. If your exact title is not listed, select the role that best matches your actual day-to-day responsibilities. You can change this role at any time if your focus shifts.
What should I do if I never received my email invitation, or if the link expired?
First, please check your spam or junk folder for the invitation. If the email is not there, or if the setup link has expired, contact your Organization Admin. They have the ability to resend active invitations directly to your work email.
Why is my microphone still not picking up my voice?
If your browser settings are allowed but your audio is not registering, check your computer's system settings:
- Windows: Go to Settings > System > Sound. Ensure your preferred microphone is selected under "Input" and that the input volume is turned up.
- macOS: Go to System Settings > Sound > Input. Select your preferred microphone and verify that the input volume slider is active.
